Priority access beamtime scheduling at P11 for Helmholtz groups from research field "Health" is organized using a dedicated booking tool in DOOR:
1. Check available Helmholtz slots
- Login to DOOR as "General user"
- Select "Reserved experiment blocks for HGF proposals" from the main page
Please keep in mind that you need to have a valid DOOR account as well as a valid Helmholtz proposal taking the role of a principal investigator in DOOR in order to be able to access the Helmholtz DOOR calender and to proceed with the beamtime booking.
Color coding: Reserved slots for Helmholtz are indicated grey. Scheduled slots for Helmholtz are indicated orange. Service weeks/days and shutdowns are indicated blue.
Each day is divided into three intervals (shifts): morning shift (M) from 9:00 to 17:00, afternoon shift (A) from 17:00 to 1:00 and night shift (N) from 1:00 to 9:00.
Please note that single shift requests will be scheduled on the morning shift and double shift requests on the evening and night shifts. There will be no user change supported at 1:00 a.m.
2. Submit experiment specification (beamtime application)
After you have chosen a slot from the Helmholtz DOOR calender please go back to the general user main menu and select "Submission of experiment specifications for additional proposal types at PETRA III/FLASH" in order to apply for beamtime. If this is not working please contact us.
Please fill in the experiment specification.
Most important: state the number of shifts/hours required for your experiment and the preferred start date and time (9:00 a.m. for single and 3 shift requests, 5:00 p.m. for double shift requests) in your experiment specification. Each experiment specification is valid for a single visit only and is due at latest 6 weeks in advance of your beamtime.
3. Beamtime booking
After your experiment specification has been submitted your beamtime is bindingly scheduled by the P11 beamline manager via DOOR within the next few days.
A successful beamtime booking is confirmed via an email from DOOR and is indicated in the Helmholtz DOOR calender. If you encounter any problems please contact us.
4. Beamtime cancellation
Please inform us via email about any cancellations at latest 3 weeks prior to your beamtime. Timely reporting will allow us to re-allocate shifts to other users, thus preventing any possible losses of our beamtime.
5. Declaration of substances
- At latest 4 weeks in advance of your beamtime, register the substances used in your experiment.
- If you are unsure of the exact number of protein crystallography samples 4 weeks in advance, please declare an estimate of highest number possible.
- The actual samples need to be declared e.g. ‘insulin’ or ‘frozen protein crystals’.
- It is not necessary to list all the harmless components of the mother liquor in case of frozen protein crystals.
- For harmful compounds, the total amount present in the samples, as well as the ‘Arbeitsplatzgrenzwert’, the threshold for chemical substances at the working place, must be provided as part of the Safety Concept. You can find a template here.
- For room temperature data collections, all substances brought to the hutch, their volumes and concentrations must be declared.
- If any harmful substances are used, the method used for experiment and the hazard with the substances must be declared in a Safety Concept.
- For any alternative setup to cryo-crystallography, the setup has to be described within the Safety Concept.
- If the completed sample declaration is not in DOOR minimum 5 working days prior to the start of the beamtime, the experiment is likely to be cancelled.
6. Registration of participants
Please register all participants of the experiment in order to allow them to access the data collected during the beamtime.
7. DOOR Online Safety Training
Required modules:
- 'Basic instructions’ and ‘PETRA III’ for beamline operation
- 'Liquid nitrogen' for handling flash-frozen samples
- 'Chemistry Lab' for use of P11 beamline laboratory
!!! Do not forget to send your signed safety certificate to the Photon Science Users' Office (preferably by e-mail to door@desy.de or by fax +49 40 8998 4475). !!!
8. Bring your badge (DACHS card)
New P11 users can get their badges at the following points:
- Weekdays during office hours (Mon-Thu 8:00-12:00 and 13:00-16:00, Fri 8:00-12:00 and 13:00-14:00: Building 6, room 110
- Weekend & outside office hours: Gatekeepers' office at DESY main entrance (Notkestrasse 85)
9. Dewar shipping
Detailed information on the sample shipping to P11 and back can be found here.
