Travel costs for Lasers4EU users at DESY will be reimbursed in accordance with the general rules set by Lasers4Eu (see document available for download on the right side of this webpage).
Reimbursement has to be requested by the PI of the Proposal via DOOR prior to the stay at DESY
In general, travel costs for a maximum number of two participants will be reimbursed. Costs for shipment or transportation of equipment cannot be covered. A maximum of 500€ per person can be granted for travel, the reimbursement will never exceed the actual travel cost. A maximum contribution of 100€ per person and day can be reimbursed for accomodation and daily allowance in total (provided for six days a week).
For cost reasons we advise our users to seek for accomodation in the DESY hostel. The DESY hostel has to be booked via DESY Hostel.
Only if the DESY Hostel is fully booked we will partly cover the costs for a hotel within the limit of 100 € per day.

For reimbursement, download the reimbursement form and fill in one form for each person to be reimbursed (max 2 persons) and send it together with all original receipts, invoices and tickets to:

Reporting and references required for Lasers4EU projects
As recipient of financial support from the EU project Lasers4EU (via DESY Photon Science) you have to fulfill the following
reporting requirements:
- submission of a ”Confirmation of Access” along with your travel reimbursement forms. The confirmation is available for download on the right hand side of this page, and project leader and all supported travellers confirm the obtained beamtime/lab access time
- Upon completion of the experiment, users must fill out the Project Summary Report and submit it to the host institution (“experimental report” via DOOR). The template is available for download on the right-hand side.
- completion the Lasers4EU User Group Questionnaire. Users will receive an e-mail with a login key that will provide them with the questionnaire tailored to their proposal. The purpose of the questionnaire is to collect feedback from users in order to evaluate the Lasers4EU access programme, to provide useful advice to the individual host facilities and to improve the services offered to users in general.
- all publications based on the supported experiments have to be registered in the DESY publication database accessible via DOOR under specification of the grant name "Lasers4EU".
- acknowledgement of DESY Photon Science and the European Community in all publications (reports, articles, presentations etc.) that are based on activities at DESY Photon Science which benefitted from Lasers4EU travel support. Please include the following statements:
"Parts of this research were carried out at DESY, a member of the Helmholtz Association (HGF). We would like to thank N.N. for assistance in using *name of the lab/instrument*."
and
"The project leading to the presented results is co-funded by the EU’s Horizon Europe programme under grant agreement number 101131771 Lasers4EU."
Open access:
Users are obliged to deposit peer-reviewed research articles or final manuscripts in an online repository, allowing for online access at no charge to EU-funded results.
Research data:
The underlying research data have to be deposited in a trusted repository with open access, unless this conflicts with legitimate (e.g. commercial) interests or if there are other restrictions.
