Helmholtz at P11

Priority access beamtime scheduling at P11 for Helmholtz groups from research field "Health" is organized as on-demand since the introduction of rolling access procedure to the entire beamline in the spring of 2024. There are no longer dedicated slots for the Helmholtz users but our priority access users can freely choose the dates they would like to book. There is also no specific timeline for making the bookings and users choose themselves if they prefer to have fixed bookings throughout the current beam-run or they book just prior to the planned experiment. Experiments can be scheduled as soon as the machine schedule for the target year is published on the DESY website and the schedule is open in the user portal DOOR. Reminders to the priority access users on available beamtimes will still arrive via the dedicated mailing list.

Please keep in mind that you need to have a valid DOOR account as well as a valid Helmholtz proposal taking the role of a principal investigator in DOOR in order to be able to access the Helmholtz DOOR calendar and to proceed with the beamtime booking. If this is not the case, please contact the User Office or beamline staff.

In the DOOR calendar, already booked beamtime slots that are no longer available can be seen in orange, while the available slots appear in white. Service weeks/days appear blue and shutdown periods are shown in black.

Each day is divided into three shifts: morning shift (M) from 9:00 to 17:00, afternoon shift (A) from 17:00 to 1:00 and night shift (N) from 1:00 to 9:00.

 

Please note that single shift requests will be scheduled on the morning shift and double shift requests on the evening and night shifts. Shorter beamtimes can be also booked.

To book your beamtime: Submit experiment specification (beamtime application)

Login to the User Portal DOOR and in the general user main menu, select "Submission of experiment specifications for additional proposal types at PETRA III/FLASH" specifying your preferred date or time range as well as other necessary experiment details.

Beamtime confirmation

After your experiment specification has been submitted your beamtime is bindingly scheduled by the P11 beamline manager via DOOR within the next few days.

A successful beamtime booking is confirmed via an email from DOOR, where the local contact for your beamtime will be also specified.

Beamtime cancellation

Please inform us via email about any cancellations at latest 3 weeks prior to your beamtime. Timely reporting will allow us to re-allocate shifts to other users, thus preventing beamline being left idle.

Declaration of substances

  • At latest 4 weeks prior to your beamtime, register the substances used in your experiment.
  • If you are unsure of the exact number of protein crystallography samples 4 weeks in advance, please declare an estimate of highest number possible.
  • The actual samples need to be declared e.g. ‘insulin’ or ‘frozen protein crystals’.
  • It is not necessary to list all the harmless components of the mother liquor in case of frozen protein crystals.
  • For harmful compounds, the total amount present in the samples, as well as the ‘Arbeitsplatzgrenzwert’, the threshold for chemical substances at the working place, must be provided as part of the Safety Concept. You can find a template here.
  • For room temperature data collections, all substances brought to the hutch, their volumes and concentrations must be declared.
  • If any harmful substances are used, the method used for experiment and the hazard with the substances must be declared in a Safety Concept.
  • For any alternative setup to cryo-crystallography, the setup has to be described within the Safety Concept.

Registration of participants

Please register all participants of the experiment in order to allow them to access the data collected during the beamtime.

DOOR Online Safety Training

Required modules:

  • 'Basic instructions’ and ‘PETRA III’ for beamline operation
  • 'Liquid nitrogen' for handling flash-frozen samples
  • 'Chemistry Lab' for use of P11 beamline laboratory

New P11 users can get their badges at the following points:

  1. Weekdays during office hours (Mon-Thu 8:00-12:00 and 13:00-16:00, Fri 8:00-12:00 and 13:00-14:00: Building 6, room 110
  2. Weekend & outside office hours: Gatekeepers' office at DESY main entrance (Notkestrasse 85)
